Job Definition: Responsible for the internal processing of purchase requests, ensuring all transactions are compliant with company policies, and maintaining accurate records of expenditures in the Company’s database. This role involves close communication with internal departments and families to consult and advise on purchases, verify and reconcile receipts, vendors, and amounts spent, supporting the efficient and compliant use of program funds.

Job Characteristics: Purchasing department related tasks include strong attention to detail and organizational skills. Excellent communication and interpersonal skills. The use of independent judgment and decision-making is required in many matters following established rules, regulations, policies, or precedents.

Primary Functions:

  • Use discretion and independent judgement to review, evaluate, and process purchasing requests and transactions.
  • Verify the accuracy and completeness of purchase and reimbursement requests ensuring alignment with policy guidelines. 
  • Recommend and advise families and department leaders on policies and best practices.
  • Match and verify receipts against approved purchase requests.
  • Ensure purchasing programs are compliant with purchasing policies and procedures. 
  • Provide feedback, advice, and guidance to families regarding purchase requests, vendor selection, and reimbursements while providing top tier customer service.
  • Communicate policy updates and provide answers and guidance to families' questions. 
  • Address discrepancies and issues related to purchasing requests and expenditures. 
  • Research individual items on purchase requests to ensure eligibility per policy and precedent. 
  • Manage work queues in the company's database while maintaining accurate and up-to-date records of all purchasing transactions within specified deadlines.
  • Continually formulate, affect, interpret and implement management policies and operating practices.
  • Research student learning plans to ensure purchases are aligned with student learning objectives.
  • Liaise with internal departments to clarify and coordinate purchase requests.

Minimum Qualifications:

Education/Licensure/Certification

  • Bachelor’s degree in Business Administration, Finance, Supply Chain Management, or a related field. 
  • Years of relevant experience may substitute for a Bachelors Degree. 

Experience

  • Minimum of 2-3 years of experience making independent decisions and demonstrating discretion interpreting data, managing records, or maintaining databases.
  • Experience working in a purchasing or procurement department is preferred.

Other Minimum Qualifications

  • Must have a dedicated workspace free from distractions with consistent and reliable high-speed internet access
  • Operational knowledge of the Internet and Web-related technologies
  • Able to adequately meet legal requirements for performing this position
  • Ability to pass required background checks

  • This job requires sitting or standing at a workstation for most of the day. 
  • Location: Remote Office
  • Frequency of travel:  Occasional travel may be required to various sites for meetings, trainings, and conferences; assigned locations will vary, and may require overnight stays
  • Light physical activities and efforts required for working in an office environment
